The situation

Our client, a main player in the pharmaceutical sector, is facing major changes and reorganization phases. In this context, the client asked Business & Finance Solutions to support the organization on different levels. First, on an operational level, they needed support in Accounts Payable and Purchase Order departments. Then, a project-based resource to support the implementation of Ariba and Fiori applications.

The task

In the context of the implementation of Ariba & Fiori Applications, we:

• Defined the business requirements to the IT department
• Created test scenarios & proceeded to testing
• Trained multiple the end users presenting different user profiles
• Managed change requests coming from the business
• Followed up the issues raised by the end users
• Made master data checks

The action

First, the actions taken were:

  • Regarding the testing, we created the testing scenari implying you to know the behavior of the system, the process of the client and its business use
  • As those applications were replacing old ones, we had to make sure that those were providing the same service level
  • After the testing phase, a clear summary of the results needed to be provided to the actual team and potential change requests for additional developments needed to be executed
  • For the training of the end users, we created a community with all users, managing the meetings calendar
  • We created the adequate training support, wrote down the scenario’s of their day-to-day tasks and make them perform it in the testing environment
  • System improvements were notified and handed over to the project team

Finally, for the go-live:

  • Golden transactions were prepared with the needs of selected end users
  • During those golden transactions, we made sure that all the master data was available in the system and ensured that the transactions followed the whole flow
  • Afterwards, a validation process was followed to enable all users to use the system
  • For the last stage, there was an hyper-care meeting where potential issues were raised and further treated with new sheets and final developments

The results

At the end of the project, we succeeded in:

  • Understanding a new tool and adapting it to the current ways of working of the business
  • Improving the systems by adding the automatization of new features that were made executed manually in the past
  • Creating a clear road map determining the deployment of each of the 13 entities that had to go live
  • Implementing Ariba & Fiori applications
  • Ensuring connectivity between Ariba & SAP
  • Using Agile methodologies and Jira board
  • Ensuring business continuity of all entities and preparation of the new go-live
